Important Information for Speakers

MEETING ROOMS and AUDIOVISUAL EQUIPMENT
The Plenary (Rotterdam Hall II) and Vendor Session Room (Mees Room I+II) are furnished with the necessary equipment for data/video projection and an audio system with microphones at the lectern/podium and handheld microphones for questions from the audience. Monitors will also be available on the speakers/chairpersons table.

SPEAKER SERVICE CENTRE
The Speaker Service Centre where presenters can submit their presentations is located in Penn Room II next to the registration counter. Speakers are kindly asked to deliver their presentation on a USB flash drive or an external hard disk to the technician in the room, at least 2 hours in advance with reference to the beginning of their session. Your presentation will be checked by the technical staff and uploaded to the central system to be projected in the session room. The Speaker Service Centre will be open as follows:

Monday, 8 June 2026              13:00 – 19:00
Tuesday, 9 June 2026              08:00 – 12:00 and 12:30 – 18:00
Wednesday, 10 June 2026       08:00 – 12:00 and 12:30 – 17:00
Thursday, 11 June 2026           08:00 – 12:00 and 12:30 – 18:00
Friday, 12 June 2026                08:00 – 12:00

PRESENTATION REQUIREMENTS

  • Ratio: The aspect ratio of your presentation should be 16:9.
  • Please ensure that all text and presentation content are clearly legible for the audience, including participants seated at the back of the room. We kindly ask you to avoid very small font sizes and to ensure that any tables, figures, or detailed content remain easily readable when projected on the large screen.
  • Filename: The name of the presentation file should include the presenter’s name and the presentation title. To avoid any compatibility problems, please do not use special characters (e.g. «, Ö, Ø, ñ, ε, ®, ý, }, { etc.) to name your presentation.
  • Format: Presentation files will be accepted in Microsoft Office PowerPoint format only (.PPTX) so that animations, videos, font are included in the same file.
  • Please note there is no facility to use your own computer for delivering a presentation.
  • Presenter mode will not be available during your presentation. Please print your notes in advance or come to the Registration desk and we will print them for you.

SESSION FORMAT and SPEAKER GUIDELINES for PRESENTATIONS in the PLENARY

  • All speakers must be in their session room at least 10 minutes before the start of the session and identify themselves to the session chairpersons.
  • Speakers are invited to the stage by the chairpersons before their presentations. The session will start with a short introduction delivered by the session chairperson who will also give the floor to each of the speakers, following their order as indicated in the program. In order to ensure the smooth running of sessions, speakers are asked to ensure that they adhere to their timings.
  • The chairperson will monitor presentation timekeeping and notify the speaker of remaining time. Should the speaker run over the allotted time, he/she will be asked to move to the final slide for a courtesy to the next speaker.
  • Once all the speakers have delivered their presentations, a panel discussion with questions from the audience will follow. The session chair will moderate the discussion and will close the session at the indicated programme time.
